Vieplan ("we", "our", or "us") is a shift-scheduling and hours-tracking app for small business owners and their employees. This Privacy Policy explains what personal data we collect, how we use it, and your rights regarding that data.
By using Vieplan, you agree to this Privacy Policy.
2. Data We Collect
2.1 Account Information
When you register or sign in, we collect:
First name and last name
Email address
Profile photo URL (if signing in with Google or Apple)
2.2 Workplace Data
When you create or join a workplace, we store:
Workplace name
Your role within the workplace (Manager, Lead, or Employee)
Pay type and pay rate (if set by a manager)
Join date
2.3 Shift Data
Shift dates, start times, and end times
Notes attached to shifts
Who created or last updated a shift
2.4 Invite Data
When you invite someone to a workplace:
Invited person's email address
Invite status and expiry date
2.5 Device Tokens
FCM (Firebase Cloud Messaging) tokens — used to send push notifications to your device. These are automatically refreshed and are not linked to any advertising system.
2.6 Authentication Data
If you sign in with Google, we receive your name and email from Google.
If you sign in with Apple, we receive your name and email from Apple (email may be relayed/anonymized at your choice).
Passwords for email/password accounts are managed entirely by Firebase Authentication and are never stored or visible to us.
3. How We Use Your Data
We use the data collected solely to provide the Vieplan service:
To create and manage your account
To display your shifts, workplace information, and team members
To send push notifications about shifts and invites
To calculate hours and pay summaries within the app
To enforce role-based access (employees cannot see other employees' data)
We do not use your data for advertising, profiling, or sell it to third parties.
4. Data Storage and Security
All data is stored in Google Firebase (Firestore and Firebase Authentication), hosted in Google's secure cloud infrastructure. Data is protected by:
Firebase Security Rules that enforce role-based access at the database level
HTTPS encryption for all data in transit
Firebase Authentication for identity verification
5. Data Sharing
We do not sell, rent, or share your personal data with third parties, except:
Firebase / Google — our backend infrastructure provider (Google's privacy policy applies to their services)
Apple — if you use Sign in with Apple (Apple's privacy policy applies)
Legal requirements — if required by law or to protect our rights
6. Data Retention
Your data is retained as long as your account exists. If you delete your account:
Your user profile is permanently deleted
Your membership records in workplaces are removed
Shift records you created may remain in the workplace owner's data (as historical records), but will no longer be linked to your identity
7. Your Rights
Depending on your location, you may have the right to:
Access the personal data we hold about you
Correct inaccurate data
Delete your account and associated data (available in-app via Settings → Delete Account)
You can request deletion of your Vieplan account and all associated personal data at any time. See our dedicated Account & Data Deletion page for instructions.
9. Children's Privacy
Vieplan is not directed at children under 13 years of age. We do not knowingly collect personal data from children under 13. If you believe a child has provided us with personal data, please contact us and we will delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify users of significant changes via the app or email. The "Last updated" date at the top of this page reflects the most recent revision.
